You can use a CSV template to add new learners to Hachette Learning Adaptive or edit existing ones.
You MUST use the CSV templates from the Admin Hub. Do not edit the column headers. See Adding and Editing learners in bulk via CSV upload for help finding and uploading the correct templates.
You don't have to add new learners and edit existing ones on separate CSV files. If you export a template with existing learners, you can follow the instructions below to add new learners on the same file.
Adding new learners
You can register learners with a username and/or an email address. If you register them with only a username, you will need to create a password for them as well. If you register them with an email address, they will be sent a verification email to set up a password themselves.
You cannot revert an account to be username-only once you've added an email address, although you can change the email address itself.
When learners log in with a username, they'll be prompted to enter your centre ID number. This is the number underneath your institution's name at the top of the Admin Hub.
Fill in the CSV template as follows to add new learners:
- Column A - Action: Type 'A' (for ‘add’).
- Column B - User ID (optional): Leave this column blank.
- Column C - Type: Type 'S' (for ‘student’).
- Column D - Username: Enter a username.
- Column E - Email: Enter the learner's email address. You cannot revert to a username-only account once an email address has been added.
- Column F - Password: Enter a password if Column D (username) is filled and Column E (email) is blank.
- Column G - First name: Enter the learner's first name.
- Column H - Middle name (optional): Enter the learner's middle name.
- Column I - Last name: Enter the learner's last name.
- Column J - Interface (optional): Leave this column blank.
- Column K - Class: Enter the learner's class name. You must create the class first, and the formatting of the name must be identical. Note that learners can only be in one class at a time: if your school uses subject classes, enter their registration/form or year group instead. You can place learners in subject classes by creating custom groups.
- Column L - Access to application: Type ‘Y’ (for 'yes') to give immediate access to Adaptive. Type 'N' (for 'no') to create the user record but prevent them from logging in or appear in the platform.
Below is an example of a completed CSV template to add new users. The first three users are registered with usernames, the next three with email addresses, and the last three with both.
Editing existing learners
If you are updating learners' email addresses, please note that they will receive an email asking them to verify the change to the new address. Their address will not change in the Admin Hub until they verify the change.
You cannot revert an account to be username-only once you've added an email address.
Fill in the CSV template as follows to edit existing learners:
- Column A - Action: Type 'E' (for ‘edit’).
- Column B - User ID: This column will be populated when you export the template. Do not edit it.
- Column C - User type: Type 'S' (for ‘student’).
- Column D - Username: Update the learner's username.
- Column E - Email: Add or update the learner's email address. You cannot revert to a username-only account once an email address has been added.
- Column F - Password: Update the learner's password. (Cannot be edited if they have an email address.)
- Column G - First name: Edit the learner's first name.
- Column H - Middle name (optional): Add or edit the learner's middle name.
- Column I - Last name: Edit the learner's last name.
- Column J - Interface (optional): leave this blank.
- Column K - Class: Update the learner's class. You must create the class first, and the formatting of the name must be identical.
- Column L - Access to application: Type ‘Y’ (for 'yes') to give immediate access to Adaptive. Type 'N' (for 'no') to create the user record but prevent them from logging in or appear in the platform.
Below is an example of a CSV template that has been exported from the Admin Hub. The first four users will have their middle names added when the CSV is uploaded. The rest will be unchanged.
