Learners can be imported once you've set up your year and registration group names. The learner import is split across two panels.
Cohort selection
To start, select the year/registration groups you want to import (Select all pupils is recommended).
Tick Import pupil email addresses if you use any of the following platforms and want your learners to log in with their email address and manage their own password:
- Boost Learning
- eduu.school
- Hachette Learning Adaptive
- Hachette Learning Magazines
You can select the emails you want to import on the next panel.
If you don't import you learners' email addresses, then the system will create usernames and passwords for them instead. You can customise them after running the import. Learners don't use personal logins at all for Boost Insights, Wellbeing, or SNAP.
Click Proceed once you've made your selection.
Pupil import list
In the pupil import list, pupils on the left already exist in the Admin Hub. Pupils on the right have been found in your MIS. Similar and identical records are placed in the same row.
Each row has a status tag:
- No record: user exists in your Admin Hub but wasn't found in your MIS.
- New record: user exists in your MIS but wasn't found in your Admin Hub.
- May match: similar user records found in both systems.
- New match: identical user records found in both systems.
- Matched: user records were matched during a previous import.
- Unmatched: previously 'Matched' rows that are now missing the MIS record (usually leavers).
Review any 'May match' and 'New match' rows to ensure they're correct. If you notice a mistake, select a row and click Unmatch at the bottom. You can also match 'No record' and 'New record' rows together by selecting one and clicking Match.
If there's a discrepancy between a learner's Admin Hub and MIS records (for example, if the class and year group records don't match) then the information in your MIS will overwrite the information in your Admin Hub during the import.
If you've chosen to import your learners' email addresses, tick the ones you'd like to import under the 'Import email?' column or click Import all email addresses at the bottom. The selected learners will receive an email to create a password.
You can update an email address, but you can't remove it entirely without deleting the user record and its associated test/assignment data. Make sure the emails you've selected are required and correct before continuing. You can always return to this screen and import them later if you're unsure.
Tick the learners you want to import/update and click Save and import pupils when you're ready. 'Unmatched' learners will be placed in an 'MIS Leavers 20XX-20XX' class in the 'Classes' tab.
