You can bulk edit learners in Boost Insights by exporting them on a CSV file. Make sure their year groups and classes are set up first.
To edit learners with a CSV template:
- Log in to Boost Insights.
- Click Admin Hub in the bottom left.
- Go to Pupils > With access and click Export CSV in the bottom right.
- Click Export CSV, or Export file with groups to include your custom groups.
- Edit your learners as needed. Optional columns can be left blank, but you must not edit the headers:
- Column A - Action: Type 'E' (for ‘edit’).
- Column B - User ID: Filled automatically. Do not edit.
- Column C - Type: Type 'S' (for ‘student’).
- Column D - First name
- Column E - Middle name (optional)
- Column F - Last name
- Column G - Year group: Spelling must be identical to what's in the Admin Hub.
- Column H - Class: Spelling must be identical to what's in the Admin Hub.
- Column I - Date of birth: Format as DD/MM/YYYY.
- Column J - Gender: Type 'M' (for 'male') or 'F' (for 'female').
- Column K - Language (optional): ESL learners will join a contextual group.
- Column L - UPN (optional): Mandatory when exporting data to FFT Aspire.
- Columns M-U - Contextual groups (optional): Type 'Y' to add learners to contextual groups. Delete 'Y' to remove them.
- Column V - Access to application: Type ‘Y’ (for 'yes') or 'N' (for 'no'). Learners without access will not appear on marksheets, reports, or test assignments.
- Columns W+ - Custom groups (optional): Type 'Y' to add learners to a custom group. Delete 'Y' to remove them from a group.
- Return to Pupils > With access in the Admin Hub.
- Click Import CSV.
- Click Select Your CSV....
- Select the edited file and click Upload CSV.
A pop-up window will show the status of your upload and its position in the queue. If any users are rejected, you'll be able to download a version of the CSV with the error messages included once the file has finished processing. Correct and upload the errors CSV to add the missing users.
The queue will be longer and process slower during peak periods, especially in the Autumn term. You can exit the Admin Hub if needed without cancelling the upload. To see the status of your upload and any errors that may have occurred, log in to Passport with your Boost Insights credentials and click View user imports.
