Learners can be imported once you've set up your year and registration group names.
Cohort selection
To start, select the year/registration groups you want to import (Select all pupils is recommended).
Only tick Import pupil email addresses if you use Boost Learning, Hachette Learning Adaptive, Hachette Learning Magazines, or eduu.school and want learners to log in with an email address address and manage their own password.
If you don't use these platforms or you want to manage your learners' usernames and passwords for them yourself, leave the option unticked. Personal logins aren't used for Boost Insights, Wellbeing, or SNAP.
Click Proceed once you've made your selection.
Pupil import list
On the pupil import screen, pupils who already exist in the Admin Hub are shown on the left. Pupils found in your MIS are shown on the right. Similar and identical records are placed in the same row.
Each row has a status tag:
- No record: user exists in your Admin Hub but wasn't found in your MIS.
- New record: user exists in your MIS but wasn't found in your Admin Hub.
- May match: similar user records found in both systems.
- New match: identical user records found in both systems.
- Matched: user records were matched during a previous import.
- Unmatched: previously 'Matched' rows that are now missing the MIS record (usually leavers).
Review 'May match' and 'New match' rows to ensure they're correct. If you notice a mistake, select the row and click Unmatch. You can match 'No record' and 'New records' rows the same way.
Email addresses
If you've chosen to import your learners' email addresses, tick the ones you need in the 'Import email?' column. Newly imported learners will receive an email to create a password.
Emails can be changed, but they cannot be removed from a user entirely without deleting them and their associated data. Ensure the emails you're importing are correct before importing them.
Importing learners
Tick the learners you want to import/update when you're ready, then click Save and import pupils.
'Unmatched' learners will be placed in an 'MIS Leavers 20XX-20XX' class in the Classes tab.
New starters will be imported automatically throughout the year and placed in Students > Without access. You'll need to grant access to them before they're visible in the platform.
