The learner sync follows a similar logic to the teacher sync.
Learners on the left already exist in your the Admin Hub. Learners on the right are registered in your MIS.
Each record will have one of the following tags under the 'Status' column on the right:
- Not matched: Learners who exist in your Admin Hub (shown in the left-hand column) but do not have a corresponding record in your MIS. These users will be unaffected by the sync.
- New: Learners who exist in your MIS (show in the right-hand column) but do not have a corresponding record in your Admin Hub. Tick the 'Import?' column on the right next to each user you'd like to import, or click Select/Deselect all at the bottom.
- Matched: Learners who have matching records in your Admin Hub and MIS. These users will be synced automatically.
- May match: Learners who have very similar records in your Admin Hub and MIS. These users will be synced automatically.
- Synced: Learners who have been synced already. These users will remain synced.
- Desynced: Learners who were synced but now aren't. This is usually because they've been removed from your MIS (i.e. leavers), or because they're outside the year group range you've chosen to sync. These users will remain in the Admin Hub in their class and year group, but they will no longer be synced.
You must review any learners tagged May match before syncing to ensure they're correct. If you do not, the system will assume that they are and overwrite the existing Admin Hub record with the one in your MIS. Select the incorrect row and click Unmatch at the bottom of the screen to separate them and import the MIS record as a new user instead.
To sync records marked Not matched and New that the system has failed to match automatically, select the unmatched record and click Match at the bottom of the screen.
If you have chosen to import learners' email addresses, you can specify which ones by ticking them in the 'Sync email address?' column or clicking Sync/Desync all email addresses at the bottom. No email addresses will be synced unless you select them first.
Learners with synced email addresses will be sent a verification email asking them to create a password, which they can use to log in to Boost Learning and/or Hachette Learning Magazines, as long as you are subscribed to the relevant products for these platforms and have granted them access. They will not be able to log in to Boost Insights, SNAP, or Wellbeing with their email addresses.
Once you're happy that the records are correctly matched, click Save and sync pupils in the bottom right.
If the Admin Hub record's year group or class data differs from the information found in in the MIS (for example, if it is out of date), then it will be overwritten with the MIS data when you sync.
