Even if your account is synced with your MIS, your learners will not be automatically promoted to the next year group and class at the start of a new academic year.
Instead, you need to run the sync manually:
- Log in to Boost Insights, SNAP, or Wellbeing as the Access Coordinator.
- Go to School > MIS user sync > Registration groups.
- Click Proceed.
- Tick any new registration groups you'd like to set up.
- Click Save registration group names.
- Click Proceed.
- Tick any new subject classes you'd like to set up. You can skip past this step if your school doesn't have subject classes (because you're a primary school, for example).
- Click Save subject class names.
- Click Proceed.
- Tick Select all pupils, then Proceed again. (See below for more information about the option to sync pupils' email addresses.)
- Review your learners:
- 'Desynced' learners are leavers, or those who've moved outside the year group or class range you've chosen to sync.
- 'New' learners will be added to the Admin Hub.
- 'Matched' and 'May match' learners exist in the Admin Hub already and have an identical or similar record in your MIS. Make sure you review these learners before syncing to ensure they're correct.
- 'Synced' learners already exist in both systems. Their current year group and class on the left will be overwritten by their new year group and class on the right.
- Click Save and sync pupils.
Refresh the browser page once the learners have synced to update your learner and class information in the Admin Hub. Synced learners are indicated by a chain-link icon in the blue 'Students' tab. Grant access to synced learners who belong to a class and year group to ensure they appear in the platform.
Syncing pupil email addresses
If you use Boost Learning, Hachette Learning Adaptive, or Hachette Learning Magazines, and you want your learners to log in to those platforms using their email addresses, then you can tick Sync pupil email addresses on the 'Pupils' panel when promoting your learners.
You will need to confirm the email addresses you want to sync on the next panel. The selected learners will receive a verification email prompting them to set up a password once the sync is complete.
Syncing learners' email addresses will not affect Boost Insights, SNAP, or Wellbeing because learners do not log in to these platforms directly.
Please note:
- You cannot remove an email address from an account once added and revert back to a username.
- The system will pick up whichever email address is assigned to a learner in your MIS. If you have their personal email address or a parent's email address in place of a school one, then this will be synced to the Admin Hub unless you deselect it.
If you have any doubts about the points above, untick Sync pupil email addresses. You can always return to this option later if needed.
